In this article, we will discuss all the different ways you can share your invoice and other accounting documents with your clients. 


Depending on your needs, you can either share your documents manually by taking a printout, downloading a PDF, or copying the link; or you can share the documents directly via Email or Whatsapp.


Once your document is created, you will see the different options to share your invoice at the top as well as the bottom.




Click on the print option to directly Print your invoice from the Invoice Review.


Or you can click on download to generate a PDF which you can share with your client over email, WhatsApp, or any other medium. 


You can also copy the link to share it with your clients over email, WhatsApp, or any other medium. One major advantage of Copy Link is that the link will contain a dynamic invoice. This means that whenever you make a change in the invoice after you've shared the link, the link will automatically update and reflect the new invoice so that you don’t have to share the same link again and again.


To save you time, Refrens has the option to share an invoice directly via Email or WhatsApp in just a few clicks.


Let’s start with emailing our invoice.


1. Email


When you click “Email Invoice”, it will open a window like this:



All the fields will automatically be populated based on your client details. You can still continue to edit all of them. 


  • “From” Indicates who the invoice is from - it should be your company/freelancer's name

  • “Client's name” would contain the name of your client or their company

  • You can also send the email to more recipients from your colleagues or client's team in the “More Recipient” field.


Further, you can edit the Subject as well as the Email body message. You can click on “Message preview” to see the preview.


When you hit send, The PDF of your invoice as well as the Link will automatically be added to the email. Also, if you want to send the email at a later time, you can do it by clicking on “Schedule for later.” It will allow you to schedule the email for a later date & time based on your client’s time zone.




2. Whatsapp


You can also send an invoice directly via WhatsApp by clicking on “WhatsApp invoice”.



All you have to do is add the client’s name, client’s phone no. , and your phone no. on which you want to receive a reply from the clients. As with emails, you can send it directly or schedule it for later.
