If you are managing your inventory in different Warehouses OR managing your raw goods and finished goods at separate locations, you might need to handle stock transfer between these locations/Warehouses.


Let's see how Refrens helps you do that seamlessly!



Individual Stock Transfer


To transfer the stock of a particular item from one Warehouse to another, go to that particular item from your inventory dashboard > click "More" > click "Transfer Warehouse Stock":


You will see the following pop-up:


Just select the Warehouses between which this stock is being transferred, add the quantity, select the reason for the transfer, and click "Confirm Transfer" to confirm the transaction:



Bulk Stock Transfer


To transfer stock of multiple items at once, you can use the "Bulk Transfer Stock" feature. With this, you can put all the stock transfer details in a CSV file and upload it in a few clicks.


Just go to the "Add Item" dropdown and click on "Bulk Transfer Stock" to get started: 

You will see the following popup:


Before uploading your CSV file, we recommend downloading the sample format so you can upload your transfer details without any errors.

Your sample CSV file will look like this:


You can just replace the sample data with your actual data in this file only.


But before that, ensure you know what each field means, what fields are mandatory, and what restrictions you have to keep in mind as detailed below:

1. Name (Optional): 
Name of the inventory item being transferred. You can keep this empty as the system can pick up the details from the SKU ID.


2. Sku (Mandatory): SKU ID of the inventory item being transferred.

3. Transfer Quantity (Mandatory): Amount of quantity being transferred. 

For the logical reasons, keep these two things in mind:


A) Transfer quantity cannot be more than the Total Current Stock

B) Transfer quantity cannot be more than the Current Stock of the Source Location.

4. Reason (Mandatory): Reason for transfer. Helps for future reference.


For example,

- If you are transferring goods because of a demand increase in another location, you can write something like "Supply Demand"

- If you are managing raw goods and finished goods in different locations, you can write "Finished Goods Transfer" while transferring finished goods to another location.


 You can write any reason you want - there are no restrictions here. 


5. Transfer From (Mandatory): The ID of the Warehouse from which the goods are being transferred.  Note that only the Warehouse ID is accepted - not the Warehouse Name.


6. Transfer To (Mandatory): The ID of the Warehouse to which the goods are getting transferred. Note that only the Warehouse ID is accepted - not the Warehouse Name.


Once the CSV file is filled, just upload it by clicking on the "Choose File" option under the "Bulk Transfer Stock" popup:

Once you have uploaded the report, one of the two things will happen:


If the upload is successful - 


In case of a successful upload, you will see the following modal:


Depending on the amount of data in your CSV file, the upload can take a few seconds to a couple of minutes to reflect in the system. So unless you receive an error message while uploading, do not re-upload the CSV file again.


If the upload fails - 


In case the upload & formatting guidelines were not followed properly, you will receive an error report in your email:

You can download this report to see what errors are there in your CSV file, and re-upload the same after rectifying the errors.

Once your bulk upload is successful, you will receive a confirmation email.



Viewing Transfer History

You can view all the stock transactions and transfers under the transaction history section of the particular item:
